Key challenges included:
- Jeavio was experiencing challenges in managing its growing workforce due to fragmented HR processes and manual data handling.
- Employee records, attendance tracking, leave management, and recruitment workflows were being managed through multiple tools, leading to inconsistencies, delays, and lack of centralized visibility.
- The HR team faced difficulties in tracking candidate progress, coordinating interviews, onboarding new hires efficiently, and maintaining accurate employee information.
- They wanted to centralise all HR requests raised by employees at one place and overcome email based requests and give more transparency to responses and employee satisfaction.
- As the organization continued to scale, it became essential to implement an integrated HR and recruitment solution that would streamline operations, reduce administrative overhead, and support data-driven decision-making.
Highlights of Zoho People Implementation
- Special Policy for attendance applicable to set of senior managers.
- Special setup done for Maternity Leaves so that they can give more number of times the maternity leaves
- Special shifts designed for few employees
- All HR requisitions and it’s related workflow, approvals and automations were customized for better service to employees
- Custom off-boarding module was designed to meet their process requirement.
- Onboarding was designed for regular candidates and immediate joiners and their respective workflows were defined.
- Upgraded them from Zoho People 4.0 to 5.0
- Designed compensation to give them exact hike calculation on every appraisal fitting their requirements.
- Create HR helpdesk platform for employee query resolution.
Highlights of Zoho Recruit & Expense Implementation
- Every job request was sent for approval to the management subject to type of job and department from where it is raised.
- Candidate screening and profile completion was automated
- Referral module was activated along with a process to identify the referral if used after long time and a mapped to new job opening.
- Defined the permissions and data security for proper access of data by stakeholders.
- Offer generation and respective approval workflow before sending creating an offer and also after the offer letter is generated.
- They had two different HR teams – Talent acquisition and HR admin team, a proper process bifurcation was designed for these two teams within Recruit.
- Integrated recruit with background verification platform for seamless exchange of candidate information, document and it’s BGV report.
- Under Expense, for all employees from US had different authorities to approve expense which was designed separately to follow a flow.
